Job Description:
As the Executive Assistant to the Med Spa Owner, you will play a pivotal role in ensuring the smooth operation of our med spa while assisting the owner in various administrative and managerial tasks.
You will be the primary point of contact for internal and external inquiries, and you will have the opportunity to contribute to the growth and success of our business.
Responsibilities:
Manage the owner's calendar, scheduling appointments, meetings, and events efficiently.
Act as a liaison between the owner and staff, clients, and vendors Prepare and edit correspondence, reports, and other documents as needed.
Assist with financial tasks, such as expense tracking, invoicing, and budget management, along with data entry into multiple software Maintain confidentiality and handle sensitive information with discretion and professionalism.
Assist in organizing special events, promotional campaigns, and community outreach initiatives.
Handle ad-hoc tasks and projects as assigned by the owner, demonstrating flexibility and adaptability.
Handling personal errands and tasks as requested by the owner, such as shopping, picking up deliveries, and organizing personal spaces
Qualifications:
Experience in business administration, communications, or a related field preferred.
Proven experience as an executive assistant or similar role, preferably in the healthcare or med spa industry Exceptional organizational skills and attention to detail, with the ability to prioritize and multitask effectively.
Strong written and verbal communication skills, with a professional and personable demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
The ability to learn new software Discretion and confidentiality in handling sensitive information and business matters.
Ability to work independently with minimal supervision while also collaborating effectively in a team environment.
A positive attitude, proactive mindset, and willingness to take on new challenges and responsibilities.
